TPH has an adopted data protection policy.
The Trustees of the Charity form the Thursby Parish Hall (TPH) Committee in order to manage the Charity, its finances, and the Hall for the wider community. The Committee meets each month in the Parish Hall’s meeting room and holds an AGM in May when the public is invited to attend.
Certain personal information may be collected in order to manage the Hall and, as the Committee is committed to a policy of protecting the rights and privacy of individuals, this information will be sensitively and securely held. The Data protection principles under Article 5 GDPR will be applied to the publics and employee’s information (Refer TPH Data Protection Policy).
This information may include names, addresses, contact details such as phone numbers and email addresses. It may also include the purpose for which the Hall is to be used by individuals or groups.
The information will mainly be obtained with consent from individuals and groups hiring the Hall, using the Hall’s facilities, and attending events. It is not envisaged that special category material will be requested or retained in these circumstances.
Employee information will be gathered in line with their employment and in order that Trustees comply with their obligations under employment law, taxation, pensions, or insurance.
Information will only be used for these expressed core purposes. Access to personal information, other than via a subject success request (SAR), or lawful request from a competent authority listed under schedule 7 of the Data Protection Act, will be limited to TPH trustees, staff and volunteers.
TPH will ensure that personal data is adequate, relevant, accurate and limited to what is necessary in relation to the purposes for which it is processed. Reviews of information and data held will be conducted regularly, and data not required under statute (financial records 7 years), or reference to employees or former employees, will be disposed of or archived appropriately.
In the event of a breach of security leading to the accidental or unlawful destruction, loss, alteration, unauthorised disclosure of, or access to, personal data, the Charity shall promptly assess the risk to people’s rights and freedoms and if appropriate report this breach to the Charity Commission and/or ICO (more information on the ICO website).
Consent to hold and process personal information is a condition of hire and employment. Where information is to be shared with a third party or used in a way that is incompatible with the original purpose, other than under a lawful purpose, then consent will be obtained and recorded via a data consent form.
Consent to hold and process personal information can be removed where personal information is held other than a requirement to meet legislation. This can be done in writing to TPH via the secretary (this will include email communications).
